01

Introduction & Scope

This Privacy Policy describes how PlinQ OS Inc. (referred to as PlinQ, "we," "us," or "our") collects, uses, stores, shares, and protects information in connection with our cloud-based operating system, web applications, appointment scheduling widgets, mobile point-of-sale (POS) systems, client relationship management (CRM) software, and related services (collectively, the "Platform" or "Services").

Our Platform is engineered specifically for beauty, grooming, medical spa, and wellness providers including hair salons, nail lounges, barber shops, day spas, medical aesthetics practices, massage clinics, and multi-location franchises (each a "Merchant," "Subscriber," or "Salon Partner").

By accessing or using our Services, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy.

02

Data Controller vs. Data Processor Roles

Under data protection frameworks including the European Union General Data Protection Regulation (EU GDPR), UK GDPR, and California Consumer Privacy Act (CCPA/CPRA), the legal designation of data handler depends on the relationship:

Salon / Merchant as Controller

When clients book treatments, visit your salon, complete consultation intake forms, or record hair color formulas, you (the Merchant) are the Data Controller. You determine why and how guest data is processed.

PlinQ OS as Data Processor

PlinQ acts strictly as the Data Processor / Service Provider on your behalf. We store, calculate, and synchronize that data strictly under your instruction and pursuant to our agreement with you.

Note: PlinQ OS acts as a direct Data Controller only with respect to our direct relationship with you (e.g. account billing, merchant subscription management, and direct sales inquiries).

03

Information We Collect

Depending on your tier and configuration of the Platform, we collect and process the following categories of information:

A. Merchant Account & Staff Information

Business legal name, registered trade names, business addresses, tax identification numbers, salon owner contact details, staff schedules, stylist commission rules, clock-in/out timestamps, and employee login credentials.

B. Salon Guest & Client Profiles (Processed on Merchant's Behalf)

First and last names, telephone numbers, email addresses, appointment histories, preferred providers, cancellation records, membership status, gift card balances, retail product purchases, and loyalty points.

C. Technical & Diagnostic Information

IP addresses, browser type, device identifiers (including connected POS smart terminals, receipt printers, and barcode scanners), session telemetry, feature interaction metrics, and crash diagnostic logs.

04

Formulas, Consultation Notes & Health Records

The wellness industry requires recording sensitive craft and health data. We treat this data with heightened isolation and encryption:

  • Hair Color & Technical Chemical Formulas: Mixing ratios (e.g. developer volume, gram weights, tonal additives), processing times, patch test dates, and stylist notes. These are proprietary to your salon business and are stored encrypted.
  • Before & After Treatment Photography: High-resolution photos uploaded by staff. Images are stored in private, cryptographically signed cloud buckets with restricted, time-limited presigned URLs.
  • Medical Spa & Aesthetic Intake Forms: Skin classification, allergy questionnaires, contraindication checklists, consent signatures, and treatment zones (e.g. neurotoxin units or laser fluence settings). Access is governed by granular Role-Based Access Controls (RBAC).
Role-Based Privilege Enforcement

Salon owners can customize which staff tiers (e.g., Senior Stylist, Medical Director, Receptionist) can view formulas or health intake notes, guaranteeing privacy within your own salon walls.

05

How We Use Information

We process collected data exclusively for explicit, authorized business purposes:

Calendar & Booking EngineManaging multi-chair calendars, staff rosters, room assignments, and automated SMS appointment confirmations.
POS & Financial SettlementsCalculating cart totals, splitting tips across stylists, processing merchant payouts, and generating accounting reconciliations.
Stock & Inventory ProcurementTracking back-bar product usage per service, automated reorder thresholds, and retail commission calculations.
Platform Security & ReliabilityDetecting suspicious login activity, preventing chargeback fraud, maintaining uptime, and applying system updates.

06

Payment Processing & PCI-DSS Tokenization

PlinQ does not store, process, or transmit unencrypted Primary Account Numbers (PANs), CVVs, or magnetic stripe card data on our internal servers.

All payment processing whether initiated via online deposit booking or physical tap-to-pay on PlinQ Smart POS Terminals is executed via certified Level 1 PCI-DSS payment gateways (primarily Stripe). Payment cards are immediately converted to cryptographic tokens.

Zero Card Retention: When a client saves a card on file for cancellation protections or memberships, only the masked token (e.g. "Visa ending in 4242") and expiration date are visible within PlinQ OS.

07

Plinq AI Engine & Machine Learning Guardrails

Our platform includes smart automation features such as predictive no-show alerts, smart gap-filling for calendars, and automated marketing copy generation. We enforce rigid contractual boundaries regarding artificial intelligence:

Strict AI Privacy Guarantee
  • Your guest formulas, treatment notes, and revenue numbers are never used to train public models or third-party LLMs.
  • Inference and smart recommendations execute within isolated tenant boundaries.
  • You maintain complete administrative authority to disable AI suggestions at any time from your settings panel.

08

Approved Sub-Processors & Data Sharing

We never sell, rent, or monetize your customer records to advertisers or third parties. We share data only with audited cloud infrastructure providers and service vendors essential to operating PlinQ OS:

09

Security & Multi-Tenant Architecture

PlinQ OS employs defense-in-depth security principles engineered to protect salon franchises and independent operators alike:

AES-256 StorageAll databases, file attachments, and client photos are encrypted at rest using military-grade AES-256.
TLS 1.3 in TransitAll communications between your front desk tablets, phones, and our cloud are protected via modern TLS 1.3.
Tenant IsolationEvery subscriber's records are logically segregated so that no other salon can ever access or leak your database.

10

Data Retention & One-Click Portability

We believe that software should earn your business every month, not hold your client relationships hostage:

  • Complete Data Export: Salon owners can export full guest lists, contact details, formula histories, inventory counts, and financial transaction ledgers at any time in standard CSV and JSON formats directly from the dashboard.
  • Post-Termination Grace Period: If you cancel your PlinQ OS subscription, your data remains accessible in read-only export mode for thirty (30) days to ensure smooth migration.
  • Secure Purge: Following the 30-day grace period, all operational copies of your subscriber data are permanently overwritten and purged from active production databases in accordance with DoD 5220.22-M guidelines.

11

Your Privacy Rights (GDPR, CCPA & Global Compliance)

Regardless of your geographic location, PlinQ OS extends premier privacy protections:

Right to Access & Rectification: You have the right to request a complete copy of personal data held about you and correct any inaccurate information.
Right to Erasure ("Right to be Forgotten"): Upon verified request, we assist Merchants in executing complete data anonymization and deletion for requesting guests.
Non-Discrimination: We never discriminate against any user or business for exercising their legal privacy rights under CCPA or any other standard.

12

Policy Updates & Contact Information

We may update this Privacy Policy periodically to reflect enhancements to our platform features, new POS hardware additions, or regulatory updates. If we make material modifications, we will notify subscribers via in-app dashboard notices or email at least thirty (30) days prior to their effective date.
